1. What information do we collect?
Information you give us
- Contact details: your name and email address when you use our contact form, email us or message us on WhatsApp, and any organization or phone number you choose to share.
- Order information: the documents, data, images and instructions you send us so we can deliver your order, and our messages with you about it.
- Billing information: your name, billing address, the services you bought and the amounts paid. Card and PayPal details are entered directly with our payment providers, so we never receive your full card number.
Information collected automatically
Like most websites, our hosting provider records basic technical information when you visit, such as your IP address, browser type, the pages requested and the date and time. We use these logs only to keep the website running and secure.
Sensitive information
We do not ask for sensitive personal information. If a manuscript you send contains personal data about research participants, you are responsible for making sure it is properly anonymized and that you are allowed to share it with us.
2. How do we use your information?
- To reply to your enquiries and send you quotes.
- To deliver, manage and support your order, and to send emails about it, such as confirmations and delivery notices.
- To take payments, issue invoices and handle refunds.
- To keep our website and systems secure and to prevent fraud.
- To meet legal, tax and accounting obligations.
We do not send marketing emails unless you have agreed to receive them, and every marketing email includes a way to unsubscribe.
3. Legal bases for processing (EEA/UK)
If you are in the European Economic Area or the United Kingdom, we rely on: contract (to provide the Services you ask for and to respond before an order); legal obligation (for tax and accounting records); legitimate interests (to keep our website secure and improve our Services, balanced against your rights); and consent (for anything optional, which you can withdraw at any time).
4. Who do we share it with?
We do not sell or rent personal information. We share it only with:
- The people working on your order: our editors, illustrators and developers, who are bound by confidentiality obligations.
- Service providers who help us run the business, such as our website host, email provider, cloud file storage and payment providers (for example, card processors and PayPal). They may use your information only to provide their service to us.
- Google, which serves the fonts on our pages. Your browser sends your IP address to Google to download them; no cookies are set. See our Cookie Policy.
- WhatsApp (Meta), if you choose to message us on WhatsApp. Those messages are handled under WhatsApp's own privacy policy as well as this one.
- Authorities, where the law requires it.
- A buyer or successor, if our business is ever merged or sold, under the same protections.
We never send your manuscript or files to journals, publishers or anyone else unless you ask us to.
5. Cookies
Our website uses only strictly necessary cookies and browser storage: a session cookie for the employee portal, and local storage that remembers when you have closed the cookie notice. We do not use advertising, analytics or cross-site tracking cookies. Our payment providers may set their own strictly necessary cookies on their own secure payment pages when you pay an invoice. The full list, and how to control cookies, is in our Cookie Policy.
6. How long do we keep it?
- Enquiries that do not lead to an order: up to 2 years.
- Order files (your documents and our edited versions): up to 12 months after delivery, so they remain available for the 90-day re-editing period included with some services and for any later questions about your order, then deleted. You can ask us to delete them sooner.
- Billing records: as long as tax and accounting laws require, normally 7 years.
7. How do we keep it safe?
We use encrypted connections (HTTPS), restricted access to files, and accounts protected by passwords. Access is limited to the people who need it for your order. No online service can be completely secure, but we work to protect your information and will notify you and the relevant authorities of a data breach where the law requires it.
8. International transfers
We are based in the United States, and some of our team and service providers are located in other countries. When information is transferred internationally, we use appropriate safeguards, such as standard contractual clauses where required.
9. Children
Our Services are for adults. We do not knowingly collect personal information from anyone under 18. If you believe a child has sent us personal information, contact us and we will delete it.
10. Your privacy rights
Depending on where you live, you may have the right to:
- access the personal information we hold about you and receive a copy;
- correct information that is wrong;
- ask us to delete your information;
- object to or restrict how we use it;
- withdraw consent where we rely on it; and
- complain to your local data protection authority (for example, the ICO in the UK or your national authority in the EEA).
To use any of these rights, email corporate@eleventhbit.com. We may need to verify your identity, and we will reply within 30 days. We will not treat you differently for using your rights.
11. US state privacy rights
Residents of California, Virginia, Colorado, Connecticut and other US states with privacy laws have the rights described above, including the right to know, access, correct and delete personal information, and the right to opt out of its "sale", "sharing" for targeted advertising, or profiling. We do not sell or share personal information for targeted advertising, and we do not carry out profiling. You may use an authorized agent to make a request, and you can appeal a decision by emailing us. If your appeal is refused, you can contact your state attorney general.
12. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top shows the latest version. If we make significant changes, we will make them clear on this page.
